CANCELLATION + PAYMENT POLICY


We understand that life can be unpredictable, and we appreciate your commitment to this journey. This retreat is made possible by careful planning and commitments to local partners. Our cancellation and payment policy is designed to balance flexibility for participants with the practical realities of creating a meaningful, supportive experience for the whole group. The policy helps us ensure that the retreat can run smoothly and provide the best possible experience for all participants.


To reserve your place in the Rwanda Women’s Retreat, a non-refundable deposit is required at the time of application acceptance.

The remaining balance is due by May 22, 2026.

Because retreat planning requires advance financial commitments for lodging, transportation, meals, and local partners in Rwanda, the following cancellation policy applies:

Deposits

A non-refundable deposit of $1000 is required at the time of registration. Deposits may be transferable to another participant only if a suitable replacement is found.

Remaining Balance

The remaining balance of your retreat fee is due by May 22, 2026.

Private Room Supplement

A private room can be requested for a supplemental cost of $350.

Cancellations

  • Before May 22, 2026: If you cancel before May 22, any payments made beyond the non-refundable deposit may be refunded.

  • On or After May 22, 2026: All retreat payments become non-refundable, including cancellations due to personal circumstances, travel disruptions, illness, or other unforeseen events.

Late Arrivals

If you arrive late due to flight delays, missed connections, or other personal travel issues, you are responsible for arranging and covering any transportation needed to meet the group. No refund will be issued for missed retreat activities or portions of the program.

Leaving Early

If you choose to leave the retreat early, no refunds or credits will be issued for missed portions of the program.

Travel Insurance

Because of the above policy and the nature of international travel, participants are required to purchase comprehensive travel insurance covering:
• Trip cancellation or interruption
• Medical care abroad
• Emergency medical evacuation

Organizer Cancellation

If the retreat must be cancelled by Meditation Without Borders or the retreat organizers due to unforeseen circumstances, all retreat payments received will be refunded. Please note that the organizers are not responsible for airline tickets, visa costs, travel insurance, or other personal travel expenses.

Itinerary Changes

Travel in Rwanda can be deeply rewarding, and like many parts of the world, it may occasionally involve differences in infrastructure, transportation timing, utilities, or internet connectivity compared with what some participants may be accustomed to.

While every effort will be made to ensure a smooth and comfortable experience, occasional changes, delays, or interruptions related to transportation, power, internet, or local services may occur.

By participating in this retreat, participants acknowledge and accept these possibilities and agree to approach the experience with patience, flexibility, and respect for the local environment and culture.
